We are thrilled to welcome you as a speaker at the 2025 AAID Annual Conference November 12-15 at the Phoenix Convention Center in Phoenix, AZ!


To help ensure a successful session, please take a moment to review the important information below. You will receive email notifications as new or updated materials become available in the Speaker Portal.

Speaker Tasks & Deadlines


To complete your tasks, log in to the Speaker Portal and review any incomplete Tasks in the navigation bar. Each task is short and should only take a few seconds to a few minutes.


ASAP: Register for the conference! While you can register on site, we encourage you to do so online as soon as possible. You should have received a coupon code via e-mail to receive free speaker registration. If you did not receive this, please send an e-mail to melinda@aaid.com.


October 20: Click here to book your hotel room at the Phoenix Sheraton Downtown.

November 3: Presentation slides are due. If you haven't already done so, please download the Speaker PowerPoint template. Upload instructions are included in the speaker portal.


November 12 -15: Join us in Phoenix!

Download the Speaker PowerPoint template. Please note that all presenters - regardless of session type - are required to use this themed template including the Title slide, Disclosure slide, and Brief Biography slide.

Workshop/Seminar Setup

  • Workshop/Seminar rooms will be set up classroom style and will be equipped with a laptop, projector with wireless clicker, screen and microphone.
  • The workshop materials task on the portal should be used to submit requests for materials and supplies for workshops. Any materials needed that are not requested via this task will be the responsibility of the presenter.
  • Presenters are responsible for presenting from their own laptop for their session.
  • Any handouts uploaded will be available for attendees in the mobile app but will not be printed for your session. If you would like to have printed handouts available, please bring them with you to your session.

Additional Logistics

Session Length: Most speaking sessions are 60 minutes. It is encouraged to save 10 minutes for Q&A with the audience. Workshops and seminars are 4 hours long with a one-hour break.

Tech Checks: Provide your Main Podium presentation on a flash drive to the AV table at least 24 hours before your session. Please arrive 20 minutes before your session so the AV techs can wire you with a microphone and test the signal. If you're presenting a workshop or seminar, please bring your presentation to the classroom on a laptop. Please arrive at least 30 minutes in advance to ensure adequate set-up time.
